How and what information we gather and store

Privacy Policy Statement (GDPR)

We take your privacy seriously and are pleased to publish our GDPR privacy statement for your reassurance.


Who we are

At Linacre Locksmiths, we are committed to maintaining the trust and confidence of all our customers and visitors to our web site. In particular, we want you to know that we are not in the business of selling, renting or trading email lists, or other personal information, with other companies and businesses for marketing purposes. In this Privacy Policy, we have provided lots of detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.


How we use your data

Linacre Locksmiths uses your personal data in the following ways:

1. to provide goods and services to you;
2. to enable us to manage customer service interactions with you;
3. and where we have a legal right or duty to use or disclose your information (for example in relation to an investigation by a public authority or in a legal dispute).

In summary, we collect and use personal data only when it is necessary for the performance of a contract or in order to take steps at the request of customers prior to entering into a contract.


Certification

We have a certificate from Control Scan which verifies how we secure electronic data, particularly data from when we take card payments - a copy of our certificate is available by email on request.

The proprietor of Linacre Locksmiths, Wayne Lever, has also been registered with the ICO (Information Commissioner's Office) as being data compliant - a copy of our certificate is available by email on request.


Overview

On 25th May 2018 it will become law that all businesses operating in the UK & EU publish how they deal with any private information their customers give them. The law requires that we explain how we deal with the information you give us in a clear manner, what is recorded, who it is shared with and how we keep it safe.

We need to collect some information about you/your business and your location when you place an order for our service so that we will be able to complete the job. We do not disclose or sell your information to any third party, it is only used by our staff so that we can carry out your request.


When you ask for a quote

1. Verbally on the telephone

We need to ask brief details about your requirement so that we can establish what parts we need, the nature of the problem and repair you would like and the length of time the job is likely to take. At this stage we do not need your name, address, or telephone number and these details are not recorded by us either electronically or manually.

2. Via email or other online contacting method (ie direct message from our Facebook or Twitter pages for example)

When you contact us this way we do require your name, telephone number and premises address (or rough location). This is to allow us to identify the work required plus parts (if needed) and labour time needed to do the job, so that we can quote. We take your name and telephone number only so that we can contact you to discuss any issues or clarify points.


When you book a job

If you decide to book a job we do then need to take some information about you and your address and contact number in order to progress your order and we only need this information to progress your order and do not disclose or sell it to any third party.


Security of data

Our websites are hosted on 3rd party secure servers and are fully SSL compliant for your security. This means the details you enter (on the contact us section) are encrypted when sent to our mail server, who are also SSL compliant (Gmail/BT Internet). We keep your e-mail for 21 days on Google's and BT's SSL servers so we can refer to it should you wish to follow up. After this your e-mail is deleted. All electronic data collected by us is maintained in dedicated software which is regularly updated and password protected. Passwords are changed frequently and all IT systems which access data run anti-virus software with up to date virus definitions. Any paper based records such as our copies of sales invoices are kept under lock and key in our business premises which are not open to the public.

We never disclose or sell your details to any third party, the information you send us is used purely to enable us to quote or answer any questions you may have sent us. We do not send you any unsolicited e-mails in the future (spam).


Tracking cookies, analytics and your use of our website in relation to your privacy

Our website is purely an information resource and has been designed to enable you to see what services we offer quickly and easily. You are not asked to log in to our website and your use of it does not generate tracking cookies that enable you to be traced or contacted by us without your consent. We do not use Google Analytics software. Your personal details are not known, stored or recorded by us in any way when you browse our site.


How long do we keep your data?

We are required to keep our copy of sales invoices that may include personal details about you, such as your name and address, for a period of 7 years from date of issue. This is so that we comply with Inland Revenue & Customs law. We will not retain your data for longer than necessary for the purposes set out in this Policy. Different retention periods apply for different types of data, however the longest we will normally hold any personal data is 7 years.

You are given your own copy of the sales invoice for your own records on completion of the job. These invoices are kept in a securely locked enclosure. We only need these invoices to satisfy our legal duty and do not disclose or sell information on them to any third party.


Access to personal information

You are entitled to view, amend, or delete the personal information that we hold. To arrange this then please contact us using the details below. If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.
